Need a TTUHSC preceptor before the term starts
With the semester only weeks off, the pace is set by TTUHSC's approval chain rather than by how many calls you make. SON staff and faculty approve the preceptor and the facility, and each preceptor needs an electronic agreement for the term. A fast search aims at clinicians and sites that can clear those steps quickly, then sends TTUHSC a complete file the first time.

Your TTUHSC course, your town and the date your term begins. A placement advisor replies with the fastest route to a preceptor who fits.
Count the weeks you actually have
Begin with the term dates, since they fix how much room you have to work with. The School of Nursing's 2026-27 calendar sets these windows:

Fall and spring each give you roughly fifteen weeks and summer about twelve, and graduate clinical courses run the full term. A late start therefore costs the most in summer, when every lost week is a bigger slice of the whole. Subtract holidays and campus days as well; Thanksgiving alone takes Nov. 26 and 27 out of the fall term. TTUHSC notes that its dates are subject to change, and the academic calendar guide lists every drop and withdrawal deadline.
What must clear before your first clinical day
- A clinician who fits the courseThe practice must match the population and setting your TTUHSC course calls for, and the preceptor must satisfy the Texas rule for APRN programs.
- A facility TTUHSC can approveApproval covers the site as well as the person. If the site requires an affiliation agreement and none is on file, that step can set the pace for everything else.
- SON reviewSON staff and faculty review the preceptor and facility details you submit. TTUHSC publishes no turnaround time, so ask the Graduate Coordinator what to expect this term.
- The semester's agreementAn electronic preceptor agreement is completed for each preceptor you will use this term, including one who precepted you before. The electronic preceptor agreement guide lists what to have ready.
- The facility's own onboardingHealth systems may add applications, orientation modules and badges. Covenant Health in Lubbock wants its packet no later than two weeks before a student starts.
Where the speed comes from
On a short clock, the order in which you approach clinicians matters more than the number of calls you make.
Quickest routes first
- A new preceptor inside a facility that already hosts TTUHSC students, so the site side is familiar.
- Clinicians on TTUHSC's two-year preceptor list, who have been through approval and the agreement before.
- Independent clinics and small group practices, which can often decide within days and add fewer onboarding layers.
- Your own contacts, where a colleague can vouch for you the same day.
Large systems are worth courting for later terms, but their windows rarely suit a few weeks' notice. UT Southwestern's advanced practice office, for instance, takes spring student requests from May 1 to Aug. 31 of the year before.
On short notice, contact several fitting clinicians at the same time rather than one after another, and be open with each that you are asking more than one.
Get your own file ready today
A preceptor who agrees on Monday is little use if your own clearance holds up the start. While the search runs, confirm every item TTUHSC and the facility will check.
- BLS, plus ACLS for FNP and AGACNP students or PALS for the pediatric tracks, valid through the end of the term
- Immunization records approved by TTUHSC's Office of Institutional Health, including this year's TB screening
- Readiness for a drug screen, since TTUHSC allows five days to complete one once it is requested
- Proof of this year's HIPAA training and of your health insurance
- A clean background check on file, remembering that TTUHSC requires a new check after any break in enrollment

Keep TTUHSC in the loop while you search
Tell your course faculty and the Graduate Coordinator now, not on the first day of class. They can tell you whether a late approval is workable this term and what the course expects if the rotation starts slightly behind. Put it in writing, with the clinicians you are approaching and when you expect answers, so everyone works from the same facts. Registration questions go to the Graduate Enrolled Student Advisor; the handbook allows courses to be added through the twelfth class day of a fall, spring or full summer term, with the advisor's approval.
If the term opens with no approved preceptor, the choices that remain belong to TTUHSC, and some of them can move your timeline. When a missing preceptor delays graduation walks through them, and can't find a preceptor covers a search that has stalled.

How quickly can TTUHSC approve a new preceptor?
TTUHSC publishes neither a turnaround time nor a graduate submission deadline. Approval depends on SON staff and faculty reviewing the preceptor and the facility, and on any affiliation agreement the facility needs. The Graduate Coordinator can tell you what to expect this term. A complete, accurate submission is the part of the timing you control.
Can my clinical course start late if approval comes after the term begins?
That decision belongs to your course faculty. Graduate clinical courses run the whole term and the clinical portion is graded pass/fail, so beginning behind puts pressure on your hours. Raise it before the term starts, share your expected approval date, and ask what the course requires if you begin a few weeks in.
Is summer harder to place on short notice?
It is tighter. Summer 2027 runs from May 24 to Aug. 13, about twelve weeks against roughly fifteen in fall and spring, so each week lost to a late approval is a bigger share of the term. The BSN to DNP, Nurse-Midwifery and some NP plans put clinical courses in summer, which makes early planning for that term especially worthwhile.
Should I accept the first preceptor who agrees?
Only if the fit is right. A clinician outside your course's population, or a site TTUHSC can't approve, costs more time than it saves. Check the specialty, the facility and the schedule against your course before you say yes, and keep other candidates warm until the approval comes through.
What if the facility needs an affiliation agreement?
Facility agreements run through TTUHSC's Clinical Placement, Affiliation Agreements, and Preceptor Management unit, and the School of Nursing publishes no graduate timeline for them. On a short clock, ask the facility and the unit early whether an agreement is already on file. If not, a preceptor at a site with one in place may be the quicker path.
